Creating Multiple Views of the Same Project

How to show different views of the same project plan for different presentations

OnePager Pro has the flexibility to create multiple views of a Microsoft Project plan which can be used for different presentations throughout the entire project. For example, you might need a high-level presentation for executives, and a more detailed presentation for weekly team meetings. OnePager Pro can create many different views with varying levels of detail, all from the same Microsoft Project plan.

Suppose you’ve created a Microsoft Project file and have to update two levels in your organization with differing summary levels of the schedule. Just follow the steps below:

  1. Set up your Microsoft Project file with two flag fields; say “Flag19” and “Flag20.” “Flag19” will be used to select tasks for a detailed project view and “Flag20” will be used to select tasks for the executive level project view. The Microsoft Project file setup is shown below:

Using different flag fields in Microsoft Project, OnePager can create different views of the same project plan for different audiences.
  2. With this done, let’s launch OnePager Pro (from the MS Project toolbar or add-ins tab) and create our first project view by using “Flag19” and giving it the name of “Aerospace Program - Rocket Prop View”, as shown below:

Configure your first detailed project view.
  3. By clicking on the Create new project view OnePager Pro will produce the detailed project view shown below:

  4. Next, let's create the project view for the executive summary. For this, we’ll repeat step 2 above using “Flag20” as we planned and giving the project view the name of “Aerospace Program - Summary”:

Configure your second project summary view.
  5. Finally, by clicking on the Create new project view, OnePager Pro will produce the summary project view shown below:

This article shows you how OnePager Pro can take a single Microsoft Project file containing summary and detailed data and create multiple project views useful in different presentations. With these two different project views, you can maintain a consistent set of snapshots of the project over time for each of the two presentations.

Using OnePager Pro will allow you to create dynamic, informative project presentations with the click of a button, and it eliminates the need to rebuild your presentation by hand every time your project schedule changes.
